The inventory is a document that records and lists the condition of each property, its rooms and contents in detail.
This includes digital photography and in some cases digital video to record and document specific areas of significance.Meter readings are also documented at the time of the inspection.The document is then a record of any future changes, such as deterioration or damage that may happen over the period of the tenancy.
The inventory should be carried out shortly before the start of a tenancy or on the day itself.
Under the revised terms of the housing act 2007, all deposits taken by landlords for shorthold tenancies must be protected by a tenancy deposit protection scheme. Given this change in legislation, inventory documentation is increasingly being scrutinised and used to provide critical evidence in the settlement of deposit disputes. If an inventory is inadequate, out of date or cannot be proven then adjudicators are likely to award the deposit to the tenant unless the tenant admits to damage or losses.
At the beginning of a tenancy, a check-in report is carried out to state the tenant is in agreement with the condition of the property and any items within the property. After taking meter readings and recording them, the tenant has an opportunity to add any comments to the report if necessary and once all agreed and signed the tenant is then given the keys to the property.
At the end of a Tenancy, the Checkout report records the condition of the property. The report is compiled and then compared to the Inventory and Check In report, this then enables us to check for any damage, general wear and tear and make recommendations as to any such repairs or replacements that may be required. The report highlights the condition, the cleanliness, any missing items and any contractual obligations of the tenants that may require when leaving the property. Once agreed with the Tenant and signed off, meter readings are then taken and keys collected from the Tenant
Mid-term inspections can be carried out at defined intervals in the tenancy duration. This ensures that both Landlord and Tenant are taking care of their contractual responsibilities. The Landlord is made aware of how the Tenant is caring for the property and likewise any repairs and or maintenance that the property requires can be brought to the attention of the Landlord.The general condition of the property also its contents (if applicable) are recorded and compared to the original check in inventory, again recommendations and notes are taken in this regard.
